Senior Order & Logistics Manager

The Senior Order & Logistics Manager is responsible for overseeing the entire supply chain process, from order processing to final delivery.
This role ensures efficient coordination between sales, suppliers, logistics partners, and internal teams to guarantee timely and accurate order fulfillment.
The ideal candidate has strong experience in international logistics, supplier negotiations, and process optimization to support the company’s distribution of luxury European furniture in Vietnam.
I. Essential Duties:
1. Order Management & Coordination
Oversee the end-to-end order process, ensuring accuracy, efficiency, and on-time fulfillment.
Work closely with sales and design teams to confirm order details, pricing, and availability.
Manage backorders, order amendments, and supplier-related issues proactively.
2. Supplier & Production ManagementLiaise with European suppliers to confirm orders, lead times, and production schedules.
Negotiate and enforce contract terms with suppliers to secure favorable pricing and conditions.
Develop strong supplier relationships to improve reliability and response times.
Monitor supplier performance and recommend improvements.
3. Logistics & Shipping CoordinationDevelop and oversee international shipping plans, ensuring compliance with import regulations.
Coordinate with freight forwarders and customs agents to optimize shipping routes and costs.
Ensure timely customs clearance and troubleshoot import/export issues.
Manage logistics budgets and identify cost-saving opportunities.
4. Inventory & Warehouse CoordinationWork closely with warehouse staff to monitor stock levels and ensure smooth inbound/outbound flow.
Implement inventory tracking systems to prevent stock discrepancies.
Optimize stock ordering processes to balance supply and demand efficiently.
5. Customer & Sales SupportProvide regular order updates to sales teams and ensure customer expectations are met.
Address and resolve order discrepancies, damages, and claims in coordination with suppliers.
Support VIP clients and key accounts with priority handling of their orders.
6. Process Improvement & ReportingImplement best practices to improve efficiency and accuracy in order processing and logistics.
Develop key performance indicators (KPIs) to track order accuracy, delivery speed, and supplier reliability.
Prepare and present reports on supply chain performance, identifying areas for improvement
7. Compliance & Risk Management
Ensure all shipping, customs, and import documentation is accurate and compliant with Vietnamese regulations.
Stay updated on changes in trade policies, tariffs, and import/export laws that may impact operations.
Develop risk mitigation strategies for supply chain disruptions.
Other tasks as assigned by the management.

Draft and contribute to company procedures as needed.

Qualifications & Requirements
Experience:
• 5+ years in order management, logistics, or supply chain roles, preferably in furniture, luxury goods, or international trade.
Education:
• Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field.
Skills:
• Strong knowledge of international shipping, customs regulations, and import/export compliance.
• Excellent negotiation skills for supplier and freight agreements.
• Proficiency in ERP or order management software.
• Strong analytical and problem-solving skills.
• Ability to manage multiple stakeholders and coordinate across departments.
• Fluent in English and Vietnamese (required).
